Recall Meeting is a macOS application that records your meetings, transcribes them, and generates written notes. This policy explains what data we handle, why, and who else processes it on our behalf.
In short: your recordings, transcripts and notes belong to you. They are stored privately, are not readable by other users, and we do not sell them or use them to train AI models.
Recall Meeting ("we", "us") is the data controller for information processed through the application. You can reach us at privacy@recallmeeting.com.
When you create an account we store your email address and, if you provide one, your display name. If you sign in with Google, we receive your email address, name and profile picture from Google. Passwords are handled by Firebase Authentication and are never visible to us.
When you start a recording, the app captures audio from your microphone and, if you grant Screen Recording permission, audio played by other applications so remote participants can be heard. Only audio is captured — no images of your screen are recorded, transmitted or stored at any point. Recordings are uploaded to our storage and associated with your account.
Recordings are converted to text, and that text may be summarised into meeting notes at your request. Transcripts and notes are stored with the corresponding meeting.
If you connect a Microsoft account, we read your calendar events to display your upcoming meetings: the title, start and end time, organiser, number of attendees, location and any online meeting join link. This access is read-only — we cannot create, modify or delete anything in your calendar. Calendar data is fetched when you view it and is not stored on our servers.
We record which AI operations ran for your account, the model used, and the estimated cost, so that usage can be shown back to you in the app. This contains no meeting content.
We do not use analytics or advertising trackers, we do not collect your browsing activity, and we do not access files on your computer beyond the audio you choose to record and any folder you explicitly select for local copies.
We do not sell your data, share it for advertising, or use your recordings, transcripts or notes to train machine learning models.
We rely on the following providers to operate the app. Each processes only what is needed for its function.

We may also disclose data where required by law, or to protect our rights or the safety of others.
Audio recordings are stored in a private bucket that is not publicly accessible. Playback works through short-lived links generated only for the account that owns the recording. Transcripts, notes and settings are stored in a database whose access rules restrict every record to its owner. Data is encrypted in transit and at rest by our storage providers.
Credentials for connected calendar accounts are held on our servers and are never sent to the desktop application.
No system is perfectly secure. We cannot guarantee absolute security, but we work to protect your information using the measures described above.
Recordings, transcripts and notes are kept until you delete them. Deleting a meeting in the app removes both the stored audio and its transcript and notes. Disconnecting a calendar removes the stored access credentials immediately.
To delete your account and all associated data, email privacy@recallmeeting.com. Backups are cycled out within 30 days.
Depending on where you live, you may have rights to access, correct, export or delete your personal data, to object to or restrict processing, and to withdraw consent. Most of these are exercisable directly in the app; for anything else, contact us and we will respond within the period required by applicable law.
Laws about recording conversations differ by country and by state, and many require the consent of everyone being recorded. You are responsible for obtaining any consent required where you and your participants are located. Recall Meeting provides a recording tool; it does not obtain consent on your behalf.
Our providers operate globally, and your data may be processed in countries other than your own, including the United States. Where required, transfers rely on appropriate safeguards such as the European Commission's standard contractual clauses.
Recall Meeting is not intended for anyone under 16, and we do not knowingly collect data from children. If you believe a child has provided us with personal data, contact us and we will delete it.
We may update this policy as the app develops. The date at the top always reflects the current version, and material changes will be communicated in the app.
